Chivvvy helps you write sales emails, follow-ups, and inbox replies in your own voice. To do that, we process some of your data, including, with your permission, the content of your email. This policy explains what we collect, why, and the control you keep over it.

Plain-language summary: Your voice profiles, prospect details, and email content are yours. We never sell your data, never use it to train models shared across accounts, and you can delete any of it at any time.

1. Overview

This Privacy Policy describes how Chivvvy ("Chivvvy," "we," "us") collects, uses, and protects information when you use our website and application (the "Service"). By using the Service, you agree to the practices described here.

If you do not agree with this policy, please do not use the Service.

2. Information we collect

Information you provide

  • Account details such as your name, email address, company, and password (stored hashed).
  • Billing information processed by our payment provider; we do not store full card numbers.
  • Writing samples and brand settings you paste in or upload to build your voice profile, including value props, banned phrases, and positioning.
  • Contacts and prospect details you add to send messages.

Information collected automatically

  • Usage data such as features used, drafts generated, and reply outcomes, used to improve the Service and your voice profile.
  • Device and log data such as browser type, IP address, and timestamps.
  • Local browser storage used to keep you signed in (we use a token in your browser's local storage, not tracking cookies).

3. Email account access (Gmail & Outlook)

If you connect Gmail or Outlook, you grant Chivvvy permission to access certain mailbox data so we can draft and, if you enable auto-send, send replies on your behalf. Specifically, we may access:

  • Incoming and related messages in a thread, so a drafted reply has the context it needs.
  • The ability to create drafts and send messages you have reviewed, or auto-send within the guardrails you set.

We do not read your entire mailbox indiscriminately. We access only what is needed to draft replies for the threads and contacts you are working with, and email content is never used to train models shared with other accounts.

You can disconnect your inbox at any time from your account settings, which revokes our access. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

4. How we use your information

  • To generate drafts, follow-ups, and replies in your voice.
  • To build and refine your personal voice and brand profiles.
  • To operate, maintain, and improve the Service.
  • To process payments and manage your subscription.
  • To provide support and send service-related communications.
  • To detect, prevent, and address abuse, fraud, and security issues.

5. AI processing

Chivvvy uses third-party large language model providers to generate text. When you create a draft, the relevant inputs are sent to these providers to produce output: your voice profile, brand rules, the prospect details you provide, and — when drafting a reply to an incoming message — the content of that email thread from your connected inbox.

We work with providers under agreements that prohibit using your content to train their general models. Your voice profiles and prospect data are not used to train models that are shared across Chivvvy accounts.

6. How we share information

We do not sell your personal information. We share data only:

  • With service providers (hosting, payments, AI model providers, analytics) who process it on our behalf under confidentiality obligations.
  • Within your team or organization, where shared brand libraries and team analytics are an intended feature.
  • When required by law or to protect the rights, safety, and security of Chivvvy and its users.
  • In connection with a merger, acquisition, or sale of assets, with notice to you.

7. Data retention

We retain your information for as long as your account is active or as needed to provide the Service. You can delete voice profiles, drafts, contacts, and connected accounts at any time. When you close your account, we delete or anonymize your personal data within a reasonable period, except where we must retain it to comply with legal obligations or resolve disputes.

8. Your rights and choices

  • Access and portability: request a copy of your personal data.
  • Correction: update inaccurate information in your settings or by contacting us.
  • Deletion: delete individual items in-app, or request full account deletion.
  • Disconnect integrations: revoke Gmail or Outlook access at any time.
  • Marketing opt-out: unsubscribe from non-essential emails.

9. Security

We use industry-standard safeguards, including encryption in transit, access controls, and regular review of our practices, to protect your information. No method of transmission or storage is perfectly secure, but we work continuously to protect your data and will notify affected users of any breach as required by law.

10. Changes & contact

We may update this policy from time to time. We will post the new date at the top and, for material changes, notify you in-app or by email. Continued use of the Service after changes take effect means you accept the updated policy.
